Business continuity is significantly weighted towards the preservation of data and so has seen considerable improvements in speed and cost as the cloud becomes more prevalent in modern life. Here are five common causes we see from within the communications industry, to help you review your current business continuity plan.</p>

			<p>The Town and Country Planning Order 2013 allows properties being used within Class B1(a) &#8211; offices &#8211; to be converted to Class C3 &#8211; dwelling houses &#8211; without the need for full planning application. The net result is a greater risk of your landlord changing their plans for your business space, and a greater demand for the reducing commercial properties available. What would the impact be if your landlord served notice on you tomorrow?</p>
<p>Our recommendation: consider if your business can relocate within the contractual notice your landlord is required to give you. Identify your businesses&#8217; essential services (voice, data, video etc) that would need to move and ask the providers to talk you through the processes, risks and lead times. Consider facilitating remote working and outsourcing as a temporary solution if alternative office space cannot be found quickly.</p>

<div class="gap clearfix" style="height: 35px;"></div><div class="clearfix title-left"><h2 class="title_line">Planned Business Relocation</h2></div>

			<p>Unbelievably, Openreach will not divert ISDN lines while there is an open order on the telephone line (a number relocation request is an open order). If the number relocation doesn&#8217;t happen on the day your business moves (which does happen) then your business is expected to stay at the former premises until Openreach rebook the event, usually a couple of weeks away. If you do move on the day you planned, which most companies will need to follow through with, you may have no incoming calls for as many weeks as Openreach take to relocate your lines.</p>
<p>Our recommendation: speak with a communications expert who has the experience to identify risks and the ability to explain prevention planning vs cost. Consider changing from ISDN trunks to SIP trunks, which do allow diverts, work on almost any internet connection, and are more appropriate for taking your published telephone numbers with you. The ISDN network will be switched off permanently in 2025, so the move to SIP trunks will need to be addressed at some point.</p>

<div class="gap clearfix" style="height: 35px;"></div><div class="clearfix title-left"><h2 class="title_line">Fire, Flood, Theft, Terrorism</h2></div>

			<p>There may be insurance companies that cover tangible losses under the common risks, but replacement hardware can take weeks, even months, to arrange and configure. What happens to your clients during that time, and what happens to the data you have lost?</p>
<p>Our recommendation: cloud backup is the minimum recommendation, and is not price prohibitive (business grade cloud backup is less than 40p per GB per month). But this is not a complete solution; cloud backup may still need replacement hardware for data restoration. Hybrid backup solutions are the preferred option, offering on premise data backup for instant file recovery and sandbox testing; cloud backup for offsite storage; and virtual cloud servers. These virtual cloud servers are managed by the backup provider and spin up with your data to act as your missing hardware until you arrange replacement hardware. The typical virtual cloud server is up and running within 10 minutes of request and comes at no extra cost when used. Hybrid backup is popular in mid-market and enterprise, but less common within SMB as it only became affordable on smaller scales with the development in cloud.</p>

			<p>We have helped clients through many scenarios where they simply cannot access their premises &#8211; landlord disputes, snow, and suspected gas leaks to name a few. Whatever the reason, your business and your clients should not be put on hold while site access is discussed and recovered, or long term reputation and revenue damage can occur.</p>
<p>Our recommendation: identify your skeleton staff and enable remote working for them. Remote working is common place these days and the tools to do so are available and secure. It is necessary to test the facility periodically; the time to find out it isn&#8217;t working is not when you need it to work. The option to work remotely part-time is increasing in popularity and is often considered as an alternative to an offer of a payrise.</p>

			<p><a href="http://nexusip.com/security/phreaking/" target="_blank">Phreaking</a>, identify theft and website fraud has made solvent companies collapse overnight; a devastating event that often has no insurance cover and no option to avoid financial liability, or recover lost funds. Phreaking is the hacking of a telephone system and calling overseas telephone numbers. Identify theft is the cloning of senior personnel in a business, in order to transfer money out of the business and into an overseas bank account. Website fraud is breaking into a website and installing an iframe that presents another website that appears to be yours, moving transactions away from your business and damaging brand on non-delivery.</p>
<p>Our recommendation: speak with your providers to ensure your voice network, IT network, and website are reviewed with the options provided to you. Some high security has high cost, but take time to understand the risk versus cost so you make an informed choice. <p>There is no doubt about it; cloud telephony is the future of business telephony. This statement is supported by cloud’s continual increase in market share, and our own customer base steadily and voluntarily moving to a cloud platform. But cloud telephony is not one-size-fits-all. You need to know which is the better fit for your business. If you are considering moving to a cloud telephone system, then you should be aware of the two different models; public cloud and private cloud. Neither can be said to be better, just more suitable.</p>
<h2>Public Cloud</h2>
<p>Public cloud telephone systems can only be rented, normally on a price per user, per month. This reduces the initial investment required to gain access onto such a telephone system, and provides affordable, scalable telephony for start-ups. It is not just appropriate for start-ups though; <a href="http://nexusip.com/portfolio/unify-osv-cloud/">OSV Cloud</a> is a cloud installation of Unify’s OpenScape Voice, an enterprise-level telephone system that is now available on a price per user, per month model, starting at £8.95. Owning your own OpenScape Voice system would start in the region of £350,000, and you wouldn’t consider it with less than 500 users, so you can see how public cloud allows access to otherwise inaccessible technology.</p>
<p>Public cloud telephone systems are low maintenance as your rental costs typically include system upgrades. You can expect the upgrades to be carried out with consideration to the standard user, so out of hours, typically overnight. You won’t have a choice about the upgrades; you cannot opt-out.</p>
<p>System maintenance is included in the rental price, but that covers telephone system only. The vast majority of public cloud telephony resellers do not provide maintenance themselves, so your routers, network switches and handsets are without maintenance. All changes to the telephone system would be chargeable. Traditional telephone system maintenance includes all of this, so it can come as a surprise. If you need that former level of maintenance and support, you would need to find a public cloud reseller who can add that extra level of cover themselves with their own in-house engineers.</p>
<p>Features on public cloud telephone systems are usually similar to owning your own telephone system, but customisation is normally less accessible. Not all public cloud telephone systems allow you to have your own personal music on hold, some do not allow hunt groups (ring groups) or bespoke auto attendants. Customisation is standard in traditional telephone systems; many businesses want a telephone system that will bend to meet the needs of their business, not the other way around, so spend time defining your specifics if you are considering a public cloud telephone system. There are exceptions to this rule, such as OSV Cloud, which allows full customisation.</p>
<p>Be wary of the location of the public cloud telephone system. There is a whole article that could be written on the subject, but it can be summarised by recommending you only buy from a trusted reseller who has done the research for you. A public cloud telephone system should always be managed in a data centre with redundancy, QoS and SIP-exchange. Anything less and your telephone calls run the risk of quality degradation or frequent total failure. No one likes mis****g out on importa** ****mation and ****** ** repeat*** ****** over and over again. There are new public cloud systems appearing every week; those racing to the bottom on price will have bugs and poor customer service.</p>
<h2>Private Cloud</h2>
<p>Anything held in private cloud is yours and only yours. You can still pay monthly, and prices are often comparable to that of a public cloud telephone system. The key difference is that you are not sharing the telephone system with anyone else. This is much more like traditional telephony, but with the benefits of cloud.</p>
<p>Depending on your package, system updates may not be included in the monthly price, though most providers now have software assurance options. The key point is that you can choose when your system is updated. It can be planned, managed, and rolled back if necessary.</p>
<p>Private cloud maintenance is more akin to traditional maintenance; a comprehensive service that covers system, handsets, changes and advice. Maintenance should still be customisable to your specific needs, but begins as a more comprehensive service out of the box.</p>
<p>Delivery times on private cloud telephone systems tend to be slightly longer as the telephone system is not already active in use by others. That said, most cloud telephone system lead times are dictated by the lead time to transfer existing telephone numbers into the cloud. Provisioning the system itself can be done in a matter of days private or public.</p>
<p>You may be surprised to learn that, in our experience, Microsoft’s <a href="http://nexusip.com/portfolio/skype-for-business/">Skype for Business</a> is actually more commonly installed as a private cloud telephone system. <p>For many businesses, data centres are already an essential part of their storage and processes. Luckily, data centres and cloud storage are now affordable for practically any business, with business-grade cloud storage starting at as little as £0.40 per gigabyte, per month.</p>
<p>While many people use data centres, few give much thought to what they look like. As some of the world&#8217;s most valuable technology companies, we can certainly expect Google, Microsoft, and Facebook&#8217;s data centres to be works of art.</p>
<h2>Google</h2>
<p>Google has data centres around the world, in South Carolina, Iowa, Georgia, Alabama, North Carolina, Oklahoma, Tennessee, Chile, Oregon, Taiwan, Singapore, Ireland, the Netherlands, Finland, and Belgium. With a company the size of Google, multiple separate data centres are essential to building true redundancy and ensuring that the business can function even if several data centres go down. It probably helps that they have a moat with alligators too.</p>

<h2>Microsoft</h2>
<p>This year we discovered that Microsoft are testing <a href="http://www.bbc.co.uk/news/technology-35472189" target="_blank">underwater data centres</a>, which would reduce the need for cooling technology and improve energy efficiency. Since they&#8217;re responsible for over 3% of the world&#8217;s electricity usage, we can expect a lot of tech firms to be looking for solutions to this issue.</p>

<p>While they may look slightly less impressive than Google&#8217;s multi-coloured LEDs, these centres are incredible nonetheless.</p>
<h2>Facebook</h2>
<p>If Microsoft are taking notes from Ariel&#8217;s book for their data centres, Facebook&#8217;s approach definitely sounds more like a Bond villain &#8211; they keep their data centres cool by building some of them <a href="http://www.bbc.co.uk/news/business-22879160" target="_blank">near the Arctic circle</a>. If you post any sort of Facebook activity in Europe, it&#8217;s likely that your information is stored in sub-arctic Lulea. Over 350 million photographs get added to Facebook every single day, so it&#8217;s essential that their data centres can cater to their 1.65 billion users while minimising consumption &#8211; by building in such a cold climate the centre is 70% less energy intensive.</p>
