User Guide

• Accessing voicemail

  Press the mail key followed by OK. When prompted, enter your password 123456. At this point, you will be asked to press 0 to change your password to a new four or six digit password.
• Accessing voicemail remotely

  Dial your remote access telephone number (speak to your maintainer to have set up).

  When prompted, enter your mailbox number (this is your extension number).

  When prompted, enter your password.

• Listening to your messages

  Access your voicemail. Press:

  • 1 to listen to the previous message;
  • 2 to repeat a message;
  • 4 to rewind a message 10 seconds;
  • 3 to skip to the next message;
  • 6 to forward a message 10 seconds;
  • 7 to record a message and then forward the message on to a colleague;
  • 9 to forward the message you have heard onto a colleague;
  • * to skip all messages;
  • # to access your saved messages;
  • ## to save a message;
  • 00 to delete a message.

• Recording your name to personalise the automated system greeting

  Access your voicemail. When prompted, enter your password.

  Keep pressing the number 3 to move forward through the menu until you hear the prompt ‘No user name available’.

  Press 00 to ‘Record Your Name’. Record your name after the tone and press # to end recording. To keep, replace the handset or to re-record, press 00.

  Once you have recorded your name, not only will this personalise your mailbox when you are leaving a message for another extension, but this will be the default greeting until you have recorded your own personal greeting. The Greeting will say “This is the voicemail of ‘Your Name’”. The caller will then hear a tone to which they are able to leave a message.

• Recording your greeting – replaces the above system greeting

  Access your voicemail. When prompted, enter your password.

  Keep pressing the number 3 to move forward through the menu until you hear the prompt ‘First greeting’.

  Press 00 to record your greeting. Record your greeting after the tone and then press # to end recording. To keep, replace the handset or to re-record, press 00.
